Privacy notice

Last updated: draft. This notice explains how MyFloorPlan handles personal data under UK GDPR and the Data Protection Act 2018.

1. Who we are

MyFloorPlan Ltd, registered in England & Wales, is the data controller for personal data processed about account holders. For Customer-uploaded content (e.g. property photos that include people), we typically act as a processor on behalf of the agency.

2. What we collect

  • Account data: name, work email, agency, role, password hash.
  • Workspace data: branch names, team members, package selection.
  • Plan inputs: sketches, photos, addresses you upload to generate plans.
  • Usage data: logins, plans generated, exports, support interactions.
  • Billing data (when billing launches): processed by our payment provider.

3. Why we process it

To deliver the service, generate floor plans on your behalf, secure the platform, provide support, manage your subscription, and meet our legal obligations. We rely on contract, legitimate interests and (where required) consent as our lawful bases.

4. Sharing

We share data with vetted sub-processors used to run the service (hosting, AI generation, email, analytics, error monitoring). We do not sell personal data. A list of sub-processors is available on request.

5. International transfers

Where data is transferred outside the UK or EEA, we rely on appropriate safeguards such as the UK International Data Transfer Addendum and Standard Contractual Clauses.

6. Retention

Account and workspace data is retained for the life of the contract plus a short tail-off period. Generated plans remain available to you while your subscription is active and during an export window after termination.

7. Your rights

Under UK GDPR you have rights of access, rectification, erasure, restriction, portability and objection, and the right to complain to the Information Commissioner’s Office (ICO).

8. Security

We use encryption in transit, access controls, audit logging and regular review of sub-processors. No service is perfectly secure; we encourage strong, unique passwords and (where available) SSO.
